Constitution: How To
A constitution is an important governance document for your club or society. It outlines the key rules, purpose and structure of your group, as well as the guidelines your committee should follow. It helps ensure your group is run consistently, sustainably and provides accountability for committee members.
Most groups already have a constitution on eActivities, but many are outdated, with some dating back to 2009. Some groups also do not have a constitution at all. We have created a new, simple process to help all clubs and societies submit an updated constitution.
To ensure every club and society has an up-to-date governing document, all groups are required to complete the new constitution template during the 2026/27 Summer Administration period.
Once you have completed your constitution this year, you will only need to review it annually. If no changes are needed, next year's committee can simply confirm that you wish to keep the existing version.
This is a compulsory requirement and must be completed by Sunday 16th August 2026.
Please submit your completed constitution using the Committee Admin Form. You will need to submit your constitution and core risk assessment to access your group finances.
How to write your constitution:
Step 1: Read the template (attached below)
Start by opening the Constitution Template and familiarise yourself with the sections that need to be completed. Guidance notes are included throughout the template to explain what information is required.
Step 2: Review the example
Next, have a look at the Example Constitution. This will give you an idea of the level of detail and style we are expecting.
Step 3: Complete the template
Work through the template and fill in each highlighted section. Everything that needs to be completed is clearly marked.
Please keep your constitution clear, concise and to the point. Some guidance includes:
- Include no more than four Aims and Objectives (three is recommended where possible).
- Include no more than four Core Activities (again, three is recommended where possible).
- Keep these sections brief. They should simply summarise your group's purpose and activities.
- If adding additional committee roles, keep each role description to around one sentence.
- For example: Events Coordinator: Responsible for planning and coordinating the group's events, managing event logistics and working with the committee to ensure activities are delivered successfully.
Step 4: Review as a committee
Your constitution should be written and agreed upon by the committee as a whole. Before submitting, make sure everyone on the committee is happy with the final version.
Step 5: Submit your constitution
Once complete, submit your constitution using the Constitution Submission Form.
The form should be completed by one of your Principal Committee Members:
- Chair/President
- Secretary
- Treasurer
As part of the submission, you will be asked to sign on behalf of your group, so please ensure the rest of your committee has agreed to the final document before submitting.
