Want to make a change to your group’s constitution? You can do this through the Committee Admin Form.
Simply update your constitution document with the proposed changes and submit it through the form for review.
There are a few things to keep in mind when making changes:
Let your members know
You’ll need to provide evidence that your members have been made aware of the proposed changes.
This could include:
- An email sent to all members
- A message in a WhatsApp group containing all members
- Minutes from a general meeting
How you communicate the changes is up to you, but please make sure you provide evidence when submitting your request.
Please also make sure to give your members the option to get in touch if they would like to discuss any of the changes being made. You can include the following:
'If you would like to reach out to ICU to discuss any changes you are unhappy with, submit a ticket here'.
Adding committee positions
If you want to add a new position to your committee, you’ll need to:
- Add the position and its responsibilities to your constitution.
- Submit a Committee Structure Change Request alongside your constitutional changes.
We’ll then review both requests and let you know once they have been approved.
Changing your group name
Small changes to your group’s name, such as changing from ‘Ferret Fanciers’ to ‘Ferret Lovers’, will usually be straightforward to approve.
If you’re making a more significant change that substantially alters the nature or purpose of the group, such as changing from ‘Ferret Fanciers’ to ‘Ferret Haters’, we may refer the request to the New Activities Committee (NAC) for approval.
Changing your aims, objectives or core activity
You can also make changes to your group’s aims and objectives or core activity.
These changes will usually be approved as long as they remain consistent with the purpose of your group and your members have been made aware of the changes.
Any major changes to your core activity, aims or objectives may result in you needing to amend your Core Risk Assessment. If we think the changes proposed would impact your core activity and therefore risk assessment, we will advise how to update your Core RA.
