Room Booking Complaint

If you have experienced any room booking space misuse that impacts your activity, teaching or room readiness - please use our ticketing system to log it. This process is open to any Imperial College staff members responsible for managing space or student groups with a confirmed room booking. 


A few important documents and aspects to consider when making a complaint.


What do you need to do? 


We have changed the process to make it more accessible, responsive and easily trackable. All you need to do is submit a ticket through this portal, choosing the category 'Room Booking Complaint' and we will get back to you in 5 working days. You can track your tickets status if you make a Freshdesk account, alternatively you can wait for us to get back to your complaint with intended actions. 


What do you need to include in the ticket?


There's a few things you need to include in the ticket so we can track the space misuse to make relevant and appropriate actions. Key things to include: 

  • Space details, date and time - these are essential to track the activity and make sure we hold the responsible group accountable.
  • Any photo's of the misuse to illustrate the problems you've faced. 
  • An intended outcome that you think would help avoid the problem in the future. 


What is considered space misuse and how do we action them?


Any activity that negatively impacts your space booking or regular room layout is considered space misuse. Our Room Bookings Terms & Conditions detail all space booking details and responsibilities attached to booking a room. If any responsibilities are not undertaken by a student group, we will follow up with the student committee members and keep the complaint informed of our actions.
